PhoneValet Voice Mail: A Unified, Professional Image

So many voice mails from so many sources, and so little time. Most busy people have several sources of voice mail — phone company wired lines, personal and business cell phones, the family message system and increasingly, Internet-based VOIP. How does checking three to five different voice mail systems, from different phone companies, several times a day, simplify your life?

With PhoneValet, you keep your existing phone services and lines but go from checking several message locations several times a day to checking none at all.

Your voice mails will not only collect at a single, unified source (your Mac or via the Web connected to your Mac), they can actually chase you with an SMS, pager or email reminder anywhere you go. PhoneValet's unified messaging approach turns your Mac into a digital hub for all of your voice communications, and turns you into a more effective, connected person.

PhoneValet offers you up to 11 voice mail boxes. In a busy family each individual can have their own mailbox. A small business can have separate mailboxes for sales, accounts and product support. Or you can turn off the mailboxes to offer an interactive, multi-line, announcement-only phone service for a business like a movie theatre or an organization like a sports league.

Multiple Voice Mail Listening Options
PhoneValet provides you with multiple ways to listen to your voice mail:

  • Listen live — you can interrupt the voice mail message and take the call simply by picking up the phone to talk.

  • Listen later — listen to, save and erase recent messages, clear out messages as they're responded to. screenshot

  • Listen via PhoneValet call log — a permanent archive that can be searched and sorted by caller, date, call length and more. screenshot

  • Listen via email or cell phone — PhoneValet can send your messages wherever you are, to the device of your choosing.

  • Listen by dialing in — PhoneValet offers full message management features over the phone, allowing remote control access.

To return PhoneValet voice mails from your Mac, just click your mouse on the person you want to call, pick up the phone when you're ready and the caller's number is promptly dialed for you.

Fantastic Sound Quality
PhoneValet's messages sound great on playback. PhoneValet automatically adjusts the recording levels so that your caller's voice is clear and easy to understand. Listen to a sample message. This recording has not been touched up, filtered or artificially improved in any way.

Flexible Information Center Options
PhoneValet is designed for flexibility. PhoneValet can work like an answering machine ("leave your message after the tone"), like an interactive information center ("press 1 for sales, 2 for support") or a combination of both ("if you don't have a touch-tone phone, stay on the line to leave a general message").

You can turn off some or all mailboxes' message recordings and run an announcement-only system or provide a number of announcement-only mailboxes that play information to callers.

If you desire, the caller can return to the main greeting and select another announcement or a voice mail box to take a message. When more than one line is required to answer heavy call volumes, you can play announcements to multiple lines at the same time (provided each line is PhoneValet equipped).

Let PhoneValet Transfer Calls to the Right Person
If your phone line supports the feature, PhoneValet can transfer a call from voicemail to the extension or telephone number of your choice. Most office telephone switches that support analog lines can transfer the call at PhoneValets instruction. Now you can allow your callers the option to be transferred to the right person, or even to your cell phone or a remote office. Once the call is transferred PhoneValet stops monitoring the call, and is ready to accept a new incoming call. Centrex lines are supported too, and small businesses and home users should order the Call Transfer calling feature from a local telephone provider to make use of this feature.

Easy Voice Mail Setup
With all these options, you might think that setting up PhoneValet is a time-consuming process, but it's not. You just record an outgoing message for those mailboxes you want to enable, and PhoneValet figures out the rest. screenshot

Small office/home office users can supply a different greeting for each line. Your home line can have a family-oriented message, while your work line offers a more businesslike greeting. Yet, if you choose, messages from both personal and professional lines can be deposited in your single voice mail box. You can even choose to disable voice mail entirely on some lines (to provide directions, for example).

Natural, Synthesized or Imported Voice Greetings
PhoneValet gives you the choice of greeting your callers three different ways:

  • Your voice — Record your voice directly through your system microphone or by using any sound input device (like a USB headset).

  • Speech synthesis — Just type the text you want the caller to be greeted by, and PhoneValet produces a natural-sounding outgoing message.

  • Imported audio — If your business prefers professional voice talent, you can easily import audio files directly into PhoneValet.

With PhoneValet you won't have to wander around the system to configure the application: we provide simple tools to walk you through the process. screenshot

Mac Experts: Compact Files, AppleScript and More
PhoneValet audio files can be stored in 3GPP format, AAC or WAV. We prefer 3GPP because the files compress much smaller than in any other audio format, and the quality is superb. A one-minute message takes less than 76 Kb of disk space. That is over 200 hours of stored messages per GB of hard disk space. You could store over 191 continuous days of voice mail messages on a 20 Gb hard disk! For most business or home users that represents several years of calls.

For Mac experts who enjoy creating AppleScripts, you can supply scripts to run when messages are left, and you can choose to reference the saved audio directly in your scripts. To get you started, we provide several example scripts. Example: an AppleScript notifies iTunes about your recorded call and causes iTunes to save the voice mail message to your iPod for later review.
